System Emails

Mail Server:

The system sends various emails to users about their training status, reminders, training certificates, etc. We use a very reputable third-party email solution (Mailgun) to deliver the email messages reliably and quickly. The email addresses we send "from" are used contextually depending on the type of notification we are sending from the system. Due to this we ask that you please allow emails ("whitelist") from:

*@aerostudies.com where the asterisk (*) represents any email address

Here is an exhaustive list of specific addresses as well:

  • system@aerostudies.com
  • notices@aerostudies.com
  • memos@aerostudies.com
  • notifications@aerostudies.com
  • certificates@aerostudies.com
  • surveys@aerostudies.com

In some cases, the mail server needs to be whitelisted too. The mail server information is below:

Domain: aerostudies.com
Sender domain: mailgun.net
Sender IP: 166.78.71.103

Email 'From' Address:

There are some features in the system, such as Memos, which can be sent from a user to other user(s) in the system. By default, the 'from' address for these emails is the user's own.

In some cases, a network may be set to block incoming email that is shown as 'from' your company (the sender's email address) but are not coming from your mail server (coming from ours instead). In this case, you need to whitelist the mail server OR use the feature in the system to change the 'from' email address to ours (*@aerostudies.com). This is a setting in REGISTRAR role, in Settings tab on left. You may or may not have access to this level in your company. If not, contact us and we will set it for you.

Note, however, that users often get confused when they are receiving an email that says it is from someone at your company (i.e.: Bob Johnston) but their email address shows up as something like 'memos@aerostudies.com', and this is where it will go if the recipient tries to 'reply'. For this reason, it is preferred to enable the sender's own email address to be used.

There are many different areas in the system where email notifications can be setup and configured. For your convenience, we have listed all of the locations below with a brief description of the email notification.

Registrar

  • Module Expiration & Recurrent
    Location: Content > Modules > Edit Schedule button
  • Module Certificate
    Location: Content > Certificates > Destinations (Edit button)
  • Module Due Date
    Location: People > Students > Actions Menu > Manage Training > Assigned (Tab) > Click on date OR calendar icon
  • Off-Line Training Expiration
    Location: People > Students > Actions Menu > Manage Off-Line Training > Edit (Gear Icon)
  • Documents Expiration
    Location: People > Students > Actions Menu > Manage Documents > Manage (Gear Icon)

Training Developer

  • Exam Lockout & Certificate
    Location: Content > Modules > Edit Module > Click on Exam page > Settings (Gear Icon)
  • Survey Destinations
    Location: Content > Modules > Edit Module > Click on Survey page > Settings (Gear Icon)
